All Professional LLC, doing business as Automated Shop Solutions ("we," "us," or "our"), operates the Automated Intake Chrome extension and related services (the "Service"). This Privacy Policy describes how we collect, use, and protect your information.

1. Information We Collect

Audio Data: When you use the recording feature, audio is captured by your browser's microphone. Audio is streamed directly to our transcription provider (Deepgram) for processing and is not stored on our servers or any persistent storage. Audio data is discarded immediately after transcription is complete.

Transcription Data: Transcribed text is processed by our AI extraction service (Anthropic Claude) to generate structured work order data. Transcriptions are processed in-memory and are not stored persistently.

API Keys: If you provide your own API keys (Deepgram, Anthropic), these are stored locally in your browser using Chrome's sync storage (chrome.storage.sync). API keys are never transmitted to our servers.

Usage Data: We may collect anonymous usage metrics such as feature usage frequency, error rates, and performance metrics to improve the Service. This data does not include any audio content, transcriptions, or personally identifiable information.

Contact Information: If you contact us through our support form, we collect your name, email address, and message content to respond to your inquiry.

2. How We Use Your Information

We use the information we collect to:

  • Provide and maintain the Service
  • Process audio recordings into structured work order data
  • Respond to support requests
  • Improve the performance and reliability of the Service
  • Communicate important updates about the Service

3. Data Storage and Security

We follow a privacy-first approach:

  • No audio storage: Audio recordings are streamed for transcription and immediately discarded
  • No transcript storage: Transcription data is processed in-memory and not stored persistently
  • Local key storage: API keys remain in your browser's local storage
  • Encryption: All data transmitted between your browser and third-party services uses TLS encryption

4. Third-Party Services

The Service integrates with the following third-party providers:

  • Deepgram: For audio transcription. Subject to Deepgram's Privacy Policy.
  • Anthropic (Claude): For AI-powered data extraction. Subject to Anthropic's Privacy Policy.
  • Tekmetric: The Service operates within the Tekmetric interface to populate repair order fields. We do not access or store your Tekmetric credentials.

5. Chrome Extension Permissions

The Automated Intake extension requests the following browser permissions:

  • Microphone access: Required to record customer conversations
  • Active tab: Required to interact with the Tekmetric interface
  • Storage: Required to save your extension settings and API keys locally
  • Clipboard: Used as a fallback to copy work order data if direct DOM integration is unavailable

6. Data Retention

We do not retain audio recordings or transcription data. Contact form submissions are retained only as long as necessary to resolve your inquiry. Anonymous usage metrics may be retained for up to 12 months for analytics purposes.

7. Your Rights

You have the right to:

  • Request information about what data we hold about you
  • Request deletion of any personal data we have collected
  • Opt out of anonymous usage analytics
  • Uninstall the extension at any time, which removes all locally stored data

8. Children's Privacy

The Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from children.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify users of any material changes by posting the updated policy on this page with a revised "Last updated" date.
